Frequently asked questions

Short answers. Every question links to the full article where one exists.

General

Do my guests need to install an app?

No. The QR code opens your menu in the phone's browser — no app, no sign-up, no login. Guests can optionally sign in with a phone OTP later for order history and loyalty, but ordering never requires it.

Does the kitchen see orders automatically?

QR orders wait at the till for a cashier to accept — accepting sends them to the kitchen and prints the KOT in one action. Till orders sent to kitchen go straight through. This is deliberate: no food fires without a human yes.

Can one table order several times and pay once?

Yes. Every round from the same table QR joins one table bill. Dine-in settles per table, not per order — that is how a party that ordered three times pays one bill.

Which roles exist?

Owner (restaurant admin), Manager, Cashier, Waiter and Kitchen — plus the RestoQR platform operator account that manages restaurants themselves. Each role has a permission baseline you can fine-tune per person.

Restaurant setup

How long does setup take?

A small venue is typically live within a day: settings, menu, tables, QR sheet and staff invites are each 10–20 minutes. The setup checklist keeps the order right.

If I rename a table, do I have to reprint its QR code?

No. Each table gets a permanent QR token at creation; editing name, area or seats never changes the code. Printed codes keep working.

POS

What payment methods can the till record?

Cash, UPI, card and wallet — including split across methods on one bill. Only cash can be over-tendered (change due); digital methods settle the exact balance.

Does the till work if the internet drops?

Cash sales and dine-in orders sent to kitchen keep working — they queue on the device and sync automatically. Card/UPI cannot be recorded offline; QR ordering needs the server.

Can a cashier give a discount?

Yes — discounts are part of the cashier role, and every discount is recorded in the audit log against the cashier's account.

Payments

When is a payment considered real?

When the gateway's signature verification succeeds on the server and the payment is captured. Nothing else — not a bank SMS, not the guest's word — flips a bill to Paid.

A guest says they paid but the bill says unpaid. Do I charge again?

No. Never re-charge while a payment is pending — follow the reconciliation steps. A pending gateway payment can still capture, and then the guest has paid twice.

Can the system double-charge a guest?

Payment confirmation is idempotent: confirming the same gateway payment twice returns the original result instead of capturing again, and a fully paid bill has no pending payment left to capture.

When exactly does stock deduct?

When an order is accepted, for menu items that have recipe lines (or direct-sale items). Rejected and unaccepted orders deduct nothing; cancelled orders restock.

Can someone silently "fix" a stock number?

No. Opening stock is locked after creation, and adjustments cannot be edited or deleted — they require a reason and stay in the ledger forever.

QR ordering

A guest scanned the QR but the restaurant saw nothing. Why?

Usually one of: the order is waiting in the till's approval queue (the kitchen never sees unaccepted orders), the till is on the wrong outlet, or the guest never tapped Place order. Start with the approval queue.

Can guests pay from their phone?

Yes, when online payments are enabled for the restaurant — the order page shows a Pay now button. Every bill can always be settled at the counter instead.

Staff

How do I add a cashier?

Staff → + Invite with their name, email and the Cashier role. They get an activation email and set their own password; then they sign in at the POS.

Can I see who gave a discount or voided an order?

Yes — discounts, voids and rejections are recorded in the audit log against the person who did them. This is why sharing logins is a bad idea.

Someone left the team. How do I remove them?

Disable the account (owner only). It is disabled, not deleted — their history stays attributed to them.

There is no "forgot password" link. Why?

Self-service reset is not in the product yet. Staff ask the owner, and the owner contacts RestoQR support for a fresh activation — nobody can read or set another person's password.
