Stock did not decrease after an order

Orders are flowing but the stock balance is not moving. Four checks, in the order they actually fail.

What is the problem?

Guests ordered and ate, but the ingredient's "On hand" did not go down.

Why it can happen

  • The menu item has no recipe lines — nothing links it to the ingredient (the most common cause).
  • Orders are sitting unaccepted in the till's approval queue — deduction happens at acceptance, not at order.
  • The sold item is a different menu item than the one the recipe is on.

How to check it

  1. Was the order accepted? Stock deducts at acceptance — an order still awaiting approval (or rejected) deducts nothing.
  2. Does the menu item have recipe lines? Inventory → Recipes → look for the menu item. No lines → no deduction.
  3. Is it the right item? A variant/add-on still deducts the base menu item's recipe; a *different* menu item with a similar name does not.
  4. Read the ledger (item row → Ledger) — if deduction happened, the sale lines are right there with their orders.

How to fix it

  • Missing recipe lines → add them (Recipes). Past orders are not retro-deducted; post a one-off Adjust for what was consumed today if accuracy matters.
  • Unaccepted orders piling up → work the till's approval queue (Approval queue).

What NOT to do

Do not

  • Do not "fix" balances by editing opening stock — it is locked on existing items precisely so corrections stay in the ledger as adjustments.

How you know it is fixed

Place a one-item test order, accept it, and watch the ledger gain a sale line and the balance drop.

Still not working?

If recipes exist, orders are accepted, and the ledger still shows no sale lines, contact RestoQR support with the menu item, the ingredient and an example order number.
